Hi All, I hope everyone’s well and getting ready to race with us in just under 2 weeks.
The good news is that the summer has picked the water temperature up and the lake today was an almost perfect 21deg.
Forecast for the next couple of weeks is pretty decent, so I can’t see that changing much between now and race day.
As we’re getting closer to the race, I’m going to get the last few bits of information out before our final newsletter next week.

In this email, I’ll cover the following :
Start List / BTF / Registration requirements
Bringing anyone along that would like to join our team
Booking a swim on the Saturday
Getting your bike dialled in or ordering some last minute bling
Last minute deferrals or changes to your entry
Start List / BTF / Registration requirements
Thank you to everyone that emailed me during the wave/number window last week. I had over 600 requests, and I think we’ve managed to accommodate 99.9% of them. We did have a minor IT issue where my MacBook crashed and I lost a few saves on the excel, but I’m pretty confident that I swept all those requests back up and included them.
If you missed the window, then I’m afraid we can’t now change numbers as they’re already at the printers being marked up with your names, sorry

I’ve made it in Excel so you can manipulate it, and the Relay entries are shown at the bottom of the spreadsheet
You will see against each name there is also a column for ‘BTF’ – That will show either ‘BTF’, ‘Racepass’ or a blank against each name.
If you entered after Nov 1st and weren’t a BTF member at the time, the entry system will have sold you a BTF Racepass (BTF’s new name for the Day license) and you will have “Racepass’ against your entry
If you were a member at the time of entry and the BTF have confirmed your membership through your email address, you’ll have ‘BTF’ against your name
If you are one of the Blanks, we need to now sort that in one of the following ways :
If you are not a BTF member, you now need to buy a race pass online directly through the BTF link as follows : https://www.britishtriathlon.org/events/cotswold-classic-middle-distance-triathlon—aquabike-v2.0_15455 and bring a copy of the purchase receipt email (A screenshot is fine) to registration
If you are a BTF/WTF member, and the BTF’s check on the entries just didn’t pick it up, please bring a copy of your active BTF membership page as a screenshot to registration, and we’ll cross check it and approve it.
The BTF race pass/membership is the personal liability insurance for each competitor, and the BTF will simply not let you race without it. The BTF police this by having a referee at registration and they’re pretty sharp on it.
If you don’t buy one online, don’t worry, we can sort it for you on the day at registration and it’s the same price as online, so £8 please
The signal at the lake is rubbish, so we can’t take card payments I’m afraid, so it’s cash only
Registration requirements
Our registration is between 12:00 and 17:00 on Saturday the 13th July.
In order to register, you will need one of the following things :
If the start list shows you as a race pass holder or a BTF member, you will only need photoID to collect your race pack ( Passport, driving license or NHS employee card etc) – A photocopy is just fine as is a photo of it on your phone
If you are marked as blank (ie no race pass or membership on the start list), you will need PhotoID, and either a copy of your Racepass purchase receipt, a screenshot of your Active BTF/WTF membership, or photo ID and £8 cash to buy a Racepass from us.
If you want to register for someone else, or for other members of your relay team, you can do so, and will need the following
For people with either race pass or BTF on the start list – A photocopy of their Photo ID with a note written on it saying it’s ok for you to collect their pack*.
If they show a a BTF blank on the start list :
If they are a BTF member, you will need a photocopy or screenshot of their active BTF membership page.
If they have since bought a race pass, you will need a photocopy or screenshot of their race pass purchase receipt
If they need to buy a race pass, you will need £8 cash to buy one on their behalf
All members of a relay team will need BTF/WTF membership or a race pass each (Sorry, BTF rules, not ours)
*The BTF ref at the registration will retain this and make random checks Sunday AM to ensure that the person you’re registering for is the person racing, so we have to retain the Photocopy of the Photo ID, and will ensure it’s correctly destroyed after the race.
This all sounds very complicated, so I’ll include this into the briefing video which will go out early next week.
We will also have a couple of identical briefings to choose from on Saturday the 13th, and they will be at 13:00 and 16:00 by the Swim exit next to where transition will be.
Bringing anyone along that would like to join our team
We’re still short of a few marshal roles on the day, so if you’re bring anyone along that fancies being part of our team, we’d welcome them in with open arms.
If they come in a car with you, you can park for free 150m from the race start too, and all marshals get free camping on the Saturday night in the same location if they want.
We have around 180 paid positions on race day, and all our marshals get paid either £20 cash or a £50 113 Events Voucher, and we’ll brief them, kit them up with everything they need and keep them in hot food, drinks and ice creams
All we ask is that they’re over 16 and know their left from their right
We have two basic shifts we need people for :
Bike team – 05:45 Briefing/Sign in – finish around 10:30-11:45 depending on location
Run team – 07:45 Briefing/Sign in – finish around 14:00-14:45 depending on location

Fancy a swim on the Saturday
The guys at Lake32 will have their normal Pay-as-you go swimming operational on the Saturday of our registration
If you fancied a dip in the lake during the day, you will need to book in advance as they don’t take any on the day bookings
Their bookings open 7 days out from the day, and you can book with them next Saturday HERE
Our 1,900m course gets marked out Saturday night, so you won’t be able to practice on that, but they do have their own 400/750/1500m loops marked out, and the latter is broadly similar to our course.
They do have a mandatory tow float rule for their PAYG days, but you obviously won’t need one on race day when the lake is ours as we have 50+ canoeists and water safety crew on the water looking after you.
Getting your bike dialled in or ordering some last minute bling
If you’re bike is a bit hanging, or just needs a quick tweak before race day, we’ll have Tim Lewington from Speedhub there on Saturday with his tools, and also his shop full of goodies for you to browse or purchase
Tim will take advanced bookings on bike dialling, and his services start as low as £10 for a quick check over of the drive train, brakes and makes sure everything is tightened and race ready.
As you might imagine, this service is super popular, so you’ll need to book in with him by emailing him at speedhubuk@icloud.com
His shop also stocks everything you could possibly need for Triathlon, so whether you just need a race belt, or you want to order a full new bike, drop him an email and he can bring it along on registration day for you to collect https://www.speedhub.co.uk/
Last minute deferrals or changes to your entry
As we always do this close to the race, we’ve had a fair few emails with people that have picked up last minute injuries, remembered it’s their wedding anniversary, been posted away with work, or various other reasons why they now can’t race.
A good chunk of you took out the 3rd Party Injury/Illness insurance offered by the entry system when you signed up and since forgotten that you did so.
If you no longer wish to race, and meet the insurance companies reason for not doing so in their T’s and C’s, it’s worth checking your entry confirmation email to see if you took it out or not. It will show at the bottom of your confirmation email as Xcover.com and would’ve been around £12ish
Although we’re now well past the stage where we can offer free deferrals as we’ve had to spend your entry fee on your place next week’s race, and can’t now backfill your slot, I hope that the fairest way we can still accommodate people is that rather than just applying a blanket no, is that we ask that you share some of the costs incurred on your entry. If this is you, and you want to defer, please just drop me an email and we can try and work something out.
Alternatively, we can still move Triathlon Entries to Aquabike or relay, or vice versa if doing it in another format means you still get to race.
